Property Management Flow

ERPNext's Property Management module is designed to help property managers streamline operations, manage tenants, leases, and maintenance efficiently. Below are the key steps, decisions, or stages involved in setting up and using the ERPNext Property Management solution:

1. Initial Setup

  • Create Property Master:
    • Define properties in the system with relevant details such as name, location, and property type (e.g., residential, commercial).
    • Set up different units within the property (apartments, offices, etc.) if applicable.
    • Assign owners, managers, and other stakeholders.
  • Configure Settings:
    • Define settings related to leases, rent frequency, maintenance schedules, etc.
    • Set up taxes, billing cycles, and general ledger accounts that will handle property-related financials.
    • Set property rates, utility bills (electricity, water), and other property-specific financial details.

2. Lease Management

  • Create Lease Agreements:
    • Define the lease terms, including tenant details, lease start and end dates, rent amounts, and any recurring charges (maintenance, parking fees, etc.).
    • Choose the rent billing frequency (monthly, quarterly, yearly) and associate it with tenants and properties.
    • Manage rent increases or adjustments based on contract terms.
  • Set Up Notifications and Alerts:
    • Enable alerts for lease renewals, rent due dates, or expiring contracts.

3. Tenant Management

  • Manage Tenant Records:
    • Record detailed tenant information including personal details, contact information, and the property/unit they occupy.
    • Keep a record of any communications, complaints, or special agreements with tenants.

  • Payment Collection:
    • Track rent payments and dues from tenants.
    • Send reminders or late fee notices if payments are overdue.
  • Manage Security Deposits:
    • Track security deposits for each tenant and handle refunding or deductions at lease termination.

5. Maintenance Management

  • Manage Maintenance Requests:
    • Tenants can submit maintenance requests (work orders) through the system.
    • Assign maintenance tasks to internal staff or contractors and track progress.
    • Maintain records of property repairs and schedule preventive maintenance tasks.
  • Track Maintenance Costs:
    • Record costs associated with repairs and link them to specific properties for accurate accounting.
    • Optionally pass on certain maintenance costs to tenants if contractually allowed.

6. Financial Management and Reporting

    • Generate tenant performance reports, such as rental history, complaints, and feedback.
  • Analyze Property Performance:
    • Analyze performance metrics such as income per property, occupancy rates, and overall property profitability.
    • Visualize data to make informed decisions about property investments or divestments.

Key Decisions:

  • Lease Terms: Deciding on flexible or fixed-term leases.
  • Rent Collection Method: Choosing how often rent will be billed and the method for collection.
  • Maintenance Responsibilities: Deciding what maintenance costs will be covered by the property manager and which can be passed on to tenants.
