Creditors Report
Introduction
The Creditors Report in the Property Management Solution module provides an overview of outstanding purchase invoices from suppliers, including the due dates and amounts owed in different currencies. This report helps accounting and purchasing teams to track and manage creditor payments, ensuring timely settlements and improved financial oversight.
1. Purpose of the Creditors Report
The Creditors Report is designed to:
Display outstanding supplier invoices.
Show due dates, item details, and amounts owed in both USD and TZS.
Help users manage creditor payments by providing an overview of unpaid and overdue invoices.
This report is useful for tracking liabilities and ensuring that creditor payments are managed effectively within the organization.
2. Key Fields in the Report
The Creditors Report contains the following key columns:
Invoice No:
- Description: Displays the reference number for the purchase invoice. Clicking on this link allows users to navigate directly to the invoice document for further details.
Customer:
- Description: Displays the name of the supplier associated with the purchase invoice.
Items:
- Description: Lists the items included in the purchase invoice. Multiple items are grouped into one entry.
Due Date:
- Description: The date by which the payment for the invoice is due.
USD:
- Description: Displays the outstanding amount in USD (if the invoice is in USD).
TZS:
- Description: Displays the outstanding amount in TZS (if the invoice is in TZS).
Remarks:
- Description: Shows any remarks or tags associated with the purchase invoice for additional notes or classifications.
3. How the Report Works
The Creditors Report uses a Query Report format to fetch data from the Purchase Invoice and Purchase Invoice Item tables. It groups items by the invoice number and shows outstanding amounts based on the currency of the invoice (USD or TZS).
Key Points:
The report pulls invoices with statuses of Submitted, Unpaid, or Overdue.
It calculates the outstanding amounts in USD and TZS based on the invoice’s currency and conversion rates.
It groups the items from the Purchase Invoice Item table to display the list of items associated with each invoice.
Totals and Grouping
The Creditors Report includes a Total Row at the bottom, which provides a summary of the total outstanding amounts in both USD and TZS. This helps users quickly see the total liability across all suppliers.
